Top 10 Sign File Prep Mistakes to Avoid

Clean artwork keeps sign projects moving. These are the file-prep problems that most often slow down custom signs, banners, decals, murals, and storefront graphics for San Jose and South Bay businesses, plus the fixes that help production start with fewer revision rounds.

Low-Resolution Images

The Problem: Web images, screenshots, and tiny preview files can look acceptable on a screen but fall apart when printed large. A logo that looks fine in an email can turn soft or jagged on a storefront panel, lobby graphic, or banner.

The Fix: Use images that are at least 150 DPI at the final print size. For signs viewed up close, such as retail graphics, trade show displays, menus, and wall graphics, 300 DPI is a better target. Start with the largest original image you have.

Pro Tip: View the artwork at 100% in your design software. If it already looks blurry there, it will not improve when it reaches the printer.

RGB Color Instead of Print Color

The Problem: RGB is built for screens, not printed signs. Bright blues, greens, oranges, and purples can shift when converted for production, which is a bigger issue when the sign has to match a storefront, vehicle graphic, or existing brand system.

The Fix: Build the file in CMYK when possible, or convert before exporting and review the color after conversion. If a color is brand-critical, include Pantone references or an existing sample so expectations are clear before proofing.

Pro Tip: Very bright screen colors often cannot be reproduced exactly in standard print. Choose a practical printed alternative early instead of waiting until proof approval.

Forgetting to Outline Fonts

The Problem: Live text depends on the exact font being available on the production computer. If that font is missing, the file can substitute something else and change the spacing, line breaks, or personality of the whole sign.

The Fix: Convert text to outlines, curves, or paths before sending production artwork. In Illustrator: Select All → Type → Create Outlines. Keep a separate editable version so future updates are still possible.

Pro Tip: Spell-check before outlining. Once text becomes shapes, quick copy edits are no longer quick.

No Bleed for Trimmed Graphics

The Problem: Artwork that stops exactly at the cut line can leave a thin white edge after trimming. Small movement during cutting is normal, especially on larger panels, decals, and printed graphics.

The Fix: Extend backgrounds, photos, and edge-to-edge color at least 0.125" beyond the cut line. For larger signs and oversized graphics, 0.25" bleed is often safer.

Pro Tip: Bleed should continue the design past the finished edge; it should not be a white border or a copied outline.

Important Content Too Close to the Edge

The Problem: Text, logos, phone numbers, QR codes, and key visuals placed tight to the trim can feel cramped or get clipped. This is especially noticeable on customer-facing signs viewed from the sidewalk or across a parking lot.

The Fix: Keep critical content at least 0.25" inside the cut line unless your production spec says otherwise. Larger signs usually need more visual breathing room, not less.

Wrong File Size or Scale

The Problem: A file built at the wrong size creates guesswork. Scaling up can expose low-resolution images, while scaling down can change line weights, margins, and small text in ways the original designer did not intend.

The Fix: Set the document to the final sign size whenever possible. If you have to work at scale, which is common for very large banners or wall graphics, label the scale clearly and keep logos, type, and cut paths vector-based.

Pro Tip: Put the final dimensions in the file name, such as "Store-Banner-48x96-FINAL.pdf".

Sending the Wrong File Format

The Problem: Word documents, slide decks, screenshots, and compressed JPEGs are not production-ready sign files. They can introduce missing fonts, soft images, layout changes, and conversion work that delays proofing.
